TERMS & CONDITIONS

1. In these conditions the “Exhibitor” means the signatory company or firm and includes all Employees, Agents and Representatives. The term “Organiser” means Tamilnadu Chamber of Commerce & Industry, Madurai.

2. The stall amount exclusive of any Government taxes/duties if any, all of which must be bome by the Exhibitor.

3. The Organiser shall have full power to determine in every respect the space allocation and position and shall be entitled to vary general layout situation of any area of any stall for any reason which in its sole opinion is in the general interest of the Trade Fair.

4. The Exhibitor shall occupy the space allocated not later than 10-00 a.m. on the opening day of the Trade Fair. Otherwise the Organiser shall have the right to deal with the space as it considers best and the full amount remitted will be forfeited.

5. The amount paid for the stall is not refundable under any circumstances.

6. The Exhibitor should not assign, sublet or grant licence in respect of any part of the space allotted to them nor may advertise for firms other than the Exhibitor. The Exhibitor shall exhibit or sell only products / services which are mentioned in the application form.

7. The Exhibitor will be totally responsible for the cost of restoring to its original condition any part of structure occupied by them which has been altered or damaged in any way.

8. The Organiser shall not be responsible for the loss or damage to any property of the exhibitor or any other person caused by theft, fire, defect in the Trade Fair Stalls, storm, lightning, national emergency, civil unrest, war, labour disputes, acts of God, or any other cause not within the Organiser’s control or for any loss or damage sustained in the event of holding or opening of the Trade Fair is postponed or abandoned.

9. In no event shall the Exhibitor have any claim for damage of any kind against the Organiser in respect of any loss or damage as a result of postponement or abandonment as above or otherwise or for any other cause. If in the opinion of the Organiser by rearrangement of the Trade Fair or by Substitution of any other venue any other reason in a manner the Trade Fair can be held, all these conditions shall be binding upon the parties.

10. The Exhibitor shall hold the Organiser safe and harmless from all losses or damages suffered by or arising out of any act or defect or any other servants, agents, employees, or sub - contractors of the Exhibitor.

11. The Exhibitor shall not display, exhibit, or bring into Trade Fair any explosives, dangerous materials or any other objects which may endanger the health and safety of any person without the written consent of the Organiser, Exhibitors who have open flame stove shall fix one Fire Extinguisher at the stall at their own cost. Written permission from Organisers should be obtained for putting up open flame stove.

12. The Organiser reserves the right to alter, add to or amend any of these conditions and decision of the organiser shall be final.

13. The Exhibitor is responsible for observing and abiding by local regulations of law and customs.

14. Any differences or dispute on any matter among exhibitors or exhibitor and organiser shall only be resolved by Chamber Arbitration Tribunal (ChaAT) run by Tamilnadu Chamber Foundation The venue for Arbitration shall be at Madurai.

15. In the event of breach of contract, Organiser has the right to retain the amount paid and collect the balance payment declared from the Exhibitor as necessary.

16. Stall construction is the sole proprietory of the Trade Fair Organisers. Outside decorators if required can be employed by the Exhibitors only after obtaining special prior permission from the Trade Fair Organisers.

17. Exhibitors are required to notify their Agents, Representatives and Employees of these conditions. It is a condition of participation that the Exhibitor indemnifies the Organiser against any legal proceedings which may arise on account of any death, injury or accident caused by articles exhibited by them including its stand and its furnishings or by the Exhibitor’s Agents, Representatives or Employees. Neither the Exhibitor nor the Agents, Representatives or Employees have any claim for damages against the Organiser either for personal injury of for damage to any exhibit arising from negligence or default or any person or from any other cause.

18. In the event of infringement of these regulations the Organisers are entitled to close down the stall immediately without prior resort to legal aid.

19. Every Exhibitor has to take out Insurance compulsorily at his own cost for the products and persons against all risks.

20. High sounding loud speakers, stereo type of musical sound equipments and T.V. will not be allowed.

21. Exhibitors who want to effect sales of their products should obtain the necessary GST Registration / permit from their respective GST circle office.

22. The Trade Fair will not be extended and curtailed for any reasons beyond the act of the organiser, no reimbursement can be claimed.

23. Conducting Skill Games is prohibited in the Trade Fair.

24. No one will be allowed to conduct obscene dances or any other prohibited programmes in the Trade Fair.

25. Animals, Birds are prohibited in the Trade Fair.

26. No one will be allowed to conduct either directly or indirectly any Political Party propaganda in any manner inside the Trade Fair.

27. The Fair timing is tentatively fixed as from 11.00 a.m. to 9.00 p.m.

28. A) Full payment or fifty percent of the contribution declared should be paid at the time of booking stall(s).

B) Balance amount if any should be made on or before 15th April, 2025.

C) Cancellation of Booking will be entertained upto 31st March, 2025 only. Any loss incurred by the organiser due to such cancellation after 05th April, 2025 will be reimbursed by the Exhibitor.

29. No canvassing is permitted by standing in the passage meant for visitors.

30. No prize scheme of any type shall be conducted by any other Exhibitor, which will make the visitors ro crowd in front of the stall obstructing free passage of visitors. For any prize scheme written permission should be obtained from the Organiser.

31. Except the stalls totally fabricated by the Exhibitor, no other exhibitor is permitted to have their own Head Board or Banner obstructing the uniformity of the Head Boards.

DECLARATION

I/We shall inform our representatives at the stall NOT TO ENCROACH (IN ANY MANNER) ANY SPACE OUTSIDE OUR STALL AND NOT TO DISTURB NEIGHBOURING STALLS WITH ANY NOISE WHATSOEVER.

I/We accept that I/We will pay the additional power charges payable for the extra electrical fittings and rent or other charges for furnitures etc., as applicable.

I/We assure you that if any dispute arises regarding the Consumer Protection Act, we settle the issue at our cost without involving the organiser.

I/We guarantee not to use any single time usage plastics viz., carry bags, plastic coated paper cups, plates, tea cups, Thermocol paper cups / plates, non woven bags, water pouches / packets etc., in our stall. It there is any issue arises in this regard, we assure to settle the same at our own cost without involving the organizer.

I/We have read the above Terms and Conditions issued in connection with the ChamberTradeFair 2025 and I/We hereby undertake to observe strictly and be bound by the same. I/We also agree to observe and carry out other directions as may be given from time to time by the Trade Fair Organisers or their Representatives in the interest of the Trade Fair and shall abide by the decisions of the Trade Fair Organisers in any matter relating to discipline.

I/We hereby declare the total value of the goods to be exhibited is Rs................................................. and, I/We shall insure these at our cost against all kinds of risks.
